About this privacy notice
This notice explains how EquiGuild handles personal information when people use the website, create an account, purchase a supplier membership, submit a supplier profile, contact the directory or interact with its services.
Who is responsible for your information?
Data controller: Simon Moore trading as EquiGuild.
EquiGuild is registered with the Information Commissioner’s Office (ICO) under registration reference ZC226909, registered 19 August 2026. The current registration expires 18 August 2027.
Information we may collect
Depending on how you use EquiGuild, information may include account and login details, names and business contact details, supplier profile information, SMART Match sourcing requests, SMART Range Builder website addresses submitted for analysis, TradeSync access requests and buyer business contact details, order and transaction records, private Trade Enquiries messages and reports, correspondence, technical/security logs, and cookie or preference information. Information deliberately submitted for a public supplier profile is intended to be displayed publicly.
On-site verification information
Where EquiGuild asks a supplier to complete an on-site production-location check, the supplier is shown the purpose of the check before starting and must grant camera and precise-location permission on their device. EquiGuild records the submitted live photographs, coordinates, reported location accuracy, capture time, declared production address, calculated distance and review decision. Exact coordinates and private verification photographs are not published. They are restricted to authorised verification administration and used to assess the location claim, maintain an audit trail, prevent misleading claims and protect platform integrity. Address coordinates may be obtained through a mapping or geocoding service solely to calculate the comparison.
How information is used
Information is used to operate supplier memberships and listings, process and administer orders, provide SMART Match, SMART Range Builder, Trade Passport, TradeSync and anonymous aggregated Demand Radar intelligence, deliver Trade Enquiries between registered users, send message notifications, investigate reported messages, respond to enquiries, moderate and verify directory information, maintain security, prevent abuse, improve the service, meet accounting or legal obligations, and send marketing communications where there is an appropriate basis to do so.
Payments and service providers
Payments are processed through WooCommerce and the payment gateway selected at checkout. Payment providers process payment information under their own privacy terms. EquiGuild does not intentionally store complete card details where payment is handled by an external gateway. Hosting, email, mapping/geocoding, analytics, security and other service providers may process limited information where necessary to provide their services.
Legal bases and retention
Depending on the activity, processing may be necessary to perform a contract, meet a legal obligation, support legitimate business interests such as operating and securing the directory, or be based on consent where consent is required. Information is retained only for as long as reasonably necessary for the purpose for which it was collected, including verification, legal, accounting, dispute-resolution, fraud-prevention and security requirements.
Cookies
EquiGuild may use essential cookies needed for account, checkout, security and site functionality. Analytics or marketing technologies may also be used where configured and, where required, subject to the appropriate consent choices.
Your rights
UK data-protection law may give you rights including access, correction, erasure, restriction, objection and data portability, depending on the circumstances and lawful basis. You may also have the right to withdraw consent where processing relies on consent. You can raise a privacy concern with EquiGuild using the contact details below, and you may also complain to the UK Information Commissioner’s Office.

Product Showcase profiles
Information deliberately submitted for a Product Showcase profile, including product descriptions, images, trade specifications, documents and supplier details, is intended for public display and may be processed by search engines and other public web services.
International and regional privacy information
EquiGuild is operated from the United Kingdom but is intended to support an international equestrian trade community. We apply a high privacy baseline globally and may provide additional rights or safeguards where local law requires them.
EU / EEA
Where EU GDPR applies, individuals may have rights including access, rectification, erasure, restriction, portability, objection and withdrawal of consent. EU/EEA data transfers to the United Kingdom and onward transfers are managed using applicable adequacy decisions and/or contractual safeguards as required.

India
Where applicable, EquiGuild provides clear notice of processing purposes, routes to exercise privacy rights or withdraw consent, a grievance/complaints route, data minimisation, security controls and deletion/retention processes subject to legal obligations.
Canada
Where Canadian privacy law applies, EquiGuild provides access/correction and complaint routes and maintains records relevant to commercial electronic-message consent or implied-consent evidence where used.
United States
EquiGuild honours marketing opt-outs and provides privacy-request routes. Additional state privacy rights are applied where the relevant law and thresholds apply to EquiGuild.
Australia and New Zealand
EquiGuild provides privacy and marketing opt-out routes and uses a conservative consent-based approach to electronic outreach where required.
Switzerland and Brazil
Where applicable, EquiGuild provides access/correction/deletion or related local privacy rights, transfer transparency and a direct privacy contact.
International transfers and service providers
EquiGuild uses service providers for hosting, payments, email, security/backups, analytics and selected automation/translation features. We maintain an internal processor and international-transfer register and use applicable adequacy decisions, contractual clauses, the UK Addendum/IDTA or other lawful safeguards where required.
Data-protection complaints
You can submit a data-protection complaint through our Privacy Request page. We acknowledge complaints and investigate them in accordance with applicable requirements.

Business users and age
EquiGuild is a business-to-business trade platform. Supplier/trade accounts are for adults aged 18 or over who are authorised to act for the relevant business.
